Multi-Item Forms
Need to create forms for many items at once? Multi-Item Forms lets you select multiple items from your board and generate forms for all of them in a single operation, with shared settings and conflict handling.
How It Works
Multi-item form generation follows the same flow as single-item generation, but applies your configuration to every selected item:
- Select multiple items on your monday.com board (using the checkbox column or group selection)
- Open the Item to Form app — it detects multi-item selection automatically
- Choose columns, configure settings, and set validation rules once
- Click Generate — forms are created for all selected items
- View the summary page with all generated form URLs
Shared Configuration
When generating forms for multiple items, a single set of settings is applied to all forms:
- Column selection — the same columns are included on every form
- People column config — the same allowed people apply to all forms
- Validation rules — identical rules for every generated form
- Required/optional columns — same required fields across all forms
- Advanced settings — password, expiration, approval, and other settings are shared
Conflict Resolution
If some of the selected items already have existing forms, the app presents a conflict resolution dialog before proceeding. You have two options:
Skip items with existing forms
Only generate forms for items that don't have one yet. Existing forms are left untouched.
Overwrite existing forms
Replace the existing forms with new ones using the current configuration. Previous form links will be invalidated.
The conflict modal clearly shows which items have existing forms so you can make an informed decision.
Email Validation Warnings
If you configure email delivery for multi-item forms, the app checks each item for a valid recipient email address. Items with missing or invalid emails are flagged with a warning so you can fix them before sending.
Summary Page
After forms are generated, the app displays a summary page listing every created form with its item name and shareable URL.
Copy individual links
Click the copy button next to any form to copy its URL to your clipboard.
Copy all links
Click Copy All to copy all form URLs at once — useful for pasting into a spreadsheet or sharing in bulk.
Best Practices
- Select items from the same group when they share a similar structure, to ensure the shared column selection makes sense for all items
- Use the Skip conflict strategy when you want to preserve existing form links and only fill gaps
- Verify email columns are populated before configuring email delivery for a batch
- After generation, use the Fill Inbox to manage individual form settings if any form needs different password or expiration settings
